The Chartered Institute of Architectural Technologists (CIAT) is a dynamic, inclusive not-for-profit membership qualifying body for Architectural Technology. It leads, represents and promotes Architectural Technology and sets and maintains the standards for education, practice and professionalism.

CIAT is seeking to appoint a Membership Officer to join its small but friendly central office team. The Membership Department supports those wishing to join and qualify with CIAT at all stages of their careers from student through to senior professional as well as implementing and maintaining standards for all members and affiliates.

Job description
The Membership Officer is responsible to the Membership Executive for some management, administration and co-ordination of the Membership Department.

The successful candidate will be personable, a good communicator and will show initiative in their thinking and working abilities. Organisational skills and the capacity to multi-task in a busy work environment with attention to detail are also essential to the role.  General IT skills with knowledge of MS Word, Sharepoint, Excel, Outlook are required with experience using Microsoft Dynamics preferable.

Main duties include:

  • Respond to queries/correspondence in relation to membership and careers with a focus on post-education, providing advice and guidance and disseminating information in user friendly ways to potential and current members, affiliates and others as required.
  • Process membership, affiliate and corporate applications, creating and maintaining electronic records including creating orders and issuing payment links.
  • Manage the registration and assessment business process flows.
  • Manage the membership inbox responding to general queries and disseminating accordingly.
  • Undertake quality control of member and affiliate related data and e-filing.
  • Issue registration packs and assist with production of membership certificates.
  • Issue receipted invoices for membership subscriptions through the CRM.
  • Organise and oversee of Workshops, Webinars, Membership Panel Assessments and Interview Boards.
  • Collate responses on consultative matters and sourcing articles/case studies.
  • Lead with Institute promotional campaigns in relation to membership.
  • Harness and nurture relationships, in line with the policies of the Institute and Department.
  • Oversee the Affiliate Group Body Corporate Scheme (AGBC).
  • Oversee the Specialist Registers.
  • Answer, screen and disseminate finance and membership calls.
  • Other general administrative duties, including updating database/contact details, document scanning, filing, meeting notes, preparing reports, sending bulk emails etc.
  • Keep informed of industry trends, regulations, and developments to ensure that the Membership Department’s activity aligns with the changing needs of the sector.
  • Co-lead projects with other Departmental colleagues within the Institute.
  • Contribute to a positive environment for the Membership Department to work in.
  • Represent the Institute externally.
  • Carry out any other duties as required.

The Department activities are in line with the Strategic and Corporate Plan in place.

The Membership Officer will be required to travel to out-of-office meetings, as directed by the Head of Membership or Membership Executive, which might involve overnight stays at the Institute’s expense. The Institute has a policy in place for time off in lieu for working “out of hours”.
