Guidelines for representing CIAT externally
CIAT relies on its membership's expertise and experience when representing the Institute externally or attending meetings on its behalf.
1. External representation
The Institute's reputation has been built up over time by the hard work and commitment of its members and affiliates and we must preserve and progress that status. It is important that those who agree to represent the Institute understand and relay its position on matters, rather than promoting their individual view.
To achieve this, CIAT's stance and its principles must be discussed prior to any external meeting or event. This could be via a pre-event briefing with relevant staff, Honorary Officers, Committees or Groups.
2. External attendance
There will be occasions when the membership is invited to attend a meeting or event on CIAT's behalf to 'fact-find', without having to speak.
In both cases, you are requested to provide a brief summary report to the relevant member of staff so that:
- relevant groups can be kept informed;
- feedback can be reviewed alongside other activities to assess any impacts or conflicts;
- enforcement of common goals is strengthened;
- any action that needs to be taken can be determined.
When there is a recommendation for action, it should include as much structured supporting information as possible so that any further activity is properly informed.
The form below should be used. Brief bullet points will be sufficient in most cases and further information can be sought should the subject and any outcomes or actions require it. You are requested to complete the form as soon as possible following the meeting or event and this will be sent to the relevant staff member.
